As well all know, implementing enterprise software can get complicated very quickly. Who’s responsible for this again? When were we supposed to have that completed? Is anyone ever going to respond to my emails?! It can get stressful 😤. This page is designed to cut through the fog and give all parties a high-level view of what to expect throughout the course of your CloudCard implementation.

Scheduling

CloudCard has implementation slots available starting on the 1st and 15th of every month, and we plan for implementations to take around four weeks. We will schedule your implementation block once we receive your purchase order.

Pre-implementation

  1. Organization Settings Questionnaire - After we receive the PO, we will send you the organization settings questionnaire. It’s designed to help us customize the application to your specific needs. Send it back once you’re finished, and we’ll get right to work on getting CloudCard set up exactly how you like! If you are working with one of our VAR’s, they will manage this part of the implementation from start to finish.

  2. Pre-Implementation Questionnaire - If you are an A+ customer, we will send you the pre-implementation questionnaire. This document is designed to answer three major questions:

    1. How do you want to get cardholder data into CloudCard?

    2. How do you want students to access CloudCard?

    3. How do you want to move photos from CloudCard to your card production system?

Once complete, send the questionnaire back our way and we’ll get to work ASAP! If you are working with one of our VAR’s, they will manage this part of the implementation from start to finish.

Kickoff Call

This is the official start of the implementation. If all goes well, we’ll be done less than one month after this call. As mentioned in the scheduling section, the call will occur around the 1st or 15th of the month.

This meeting is designed to clarify any information on the Organization Settings Questionnaire or the Pre-Implementation Questionnaire. Additionally, we will identify the projects (see the next section) we expect to complete as part of the implementation.

Implementation Projects

If you are an A+ customer there are different projects that could be included in your implementation. None of these projects are mandatory and some only make sense in unique situations. This section is designed to give a brief overview of those projects, as well as identify the party responsible for seeing the project through to completion.

  1. General Configuration - includes a custom logo, colors, emails, settings, ect. If you are working with one of our VAR’s, they will manage this part of the implementation from start to finish.

  2. Training & Support (ongoing) - provide assistance with learning CloudCard and troubleshooting any support issues. If you are working with one of our VAR’s, they will manage this part of the implementation from start to finish.

  3. CloudCard CSV Importer - automates the Bulk Import through a csv scheduled program. CloudCard will be responsible for managing this project from start to finish.

  4. SSO Connector - integrates CloudCard with the customer’s single sign-on server, which allows their users to log into CloudCard using their organizational username and password. The SSO Connector can also provision new Online Photo Submission accounts if necessary. CloudCard will be responsible for managing this project from start to finish.

  5. Custom URL (i.e. photos.myschool.edu) - allows an organization to configure Online Photo Submission to use their custom domain. CloudCard will be responsible for managing this project from start to finish.

  6. Custom “From” Address - allows an organization to send emails from a custom email address using DKIM records. CloudCard will be responsible for managing this project from start to finish.

  7. CloudCard Photo Downloader - automates the addition of photos to the database or file system. CloudCard will be responsible for managing this project from start to finish.

Status Meetings

We will schedule 1-hour, bi-weekly, status meetings that will run throughout the course of the implementation. This is the customer's opportunity to discuss questions arising from projects 3-7 with the CloudCard development team. If you are working with one of our VAR’s, they will be able to answer questions resulting from projects 1-2. Status meetings can/will be canceled if there are no questions or roadblocks.
