As we all know, implementing enterprise software can get complicated very quickly. Who’s responsible for this again? When were we supposed to have that completed? Is anyone ever going to respond to my emails?! It can get stressful 😤. This page is designed to cut through the fog and give all parties a high-level view of what to expect throughout the course of a CloudCard implementation.
Timeline
Phase | Action/Project | Description | Who’s Responsible | Applicable Plan(s) |
---|---|---|---|---|
Pre-implementation | Placement in the A+ Implementation Queue | CloudCard has unlimited spots available in the A+ Implementation queue. Once we receive your PO, we will place you in the last slot of the queue. Your position in the queue dictates the priority of you implementation to CloudCard. Please view the A+ Implementation Queue for more information. | CloudCard | A+ |
Pre-implementation | After we receive the purchase order, we will send you the organization settings questionnaire. It’s designed to help us customize the application to your specific needs. Send it back once you’re finished, and we’ll get right to work! | All | ||
Pre-implementation | If you are an A+ customer, we will send you the integration questionnaire. This document is designed to answer three major questions:

Kick-Off (official start of implementation) | Schedule the Kick-off Meeting | This is the official start of the implementation. This meeting is designed to clarify any information on the Organization Settings Questionnaire or the Pre-Integration Questionnaire. Additionally, we will identify the projects we expect to complete as part of the implementation. | All | |
Implementation | General Configuration | Custom logo, colors, emails, settings, ect. | All | |
Implementation | Training & Support (Ongoing) | Assistance with learning CloudCard and troubleshooting any support issues. | All | |
Implementation | Automates the Bulk Import through a csv scheduled program. | CloudCard | A+ | |
Implementation | Automates the addition of photos to the database or file system. | CloudCard | A+ | |
Implementation | Integrates CloudCard with the customer’s single sign-on server, which allows their users to log into CloudCard using their organizational username and password. The SSO Connector can also provision new Online Photo Submission accounts if necessary. | CloudCard | A+ | |
Implementation | Custom URL (photos.myschool.edu) | Allows an organization to configure Online Photo Submission to use their custom domain. | CloudCard | A+ |
Implementation | Custom From Address | Allows an organization to send emails from a custom email address using DKIM records. | CloudCard | A+ |
The above timeline begins once we have received a purchase order. All of the projects included in the implementation phase are optional because there are plenty of times when some projects do not make sense for a customer. If a VAR is not involved in the implementation, CloudCard will assume responsibility for their projects.
